"What should my reception timeline look like?" is one of the most common questions couples have when organizing their wedding. A well-planned reception timeline will not only help with overall organization, but also keep guests engaged, ensure your vendors are on the same page, and, most importantly, allow you, as the couple, to enjoy your day with less anxiety. As a vendor in the wedding industry, we personally witness how an organized timeline can drastically alter the atmosphere and flow of a reception. Here is an example of a 5-hour Wedding Reception Timeline: 6:00 PM - Guests Enter Reception
After the cocktail hour is over, invite guests into the reception area. This will allow everyone to have time to find their seats while your DJ takes time to build the atmosphere with background music.
6:15 PM - Grand Entrance
Firstly, you'll want to introduce the wedding party. Allow them to build the energy prior to the most important entrance of the night! This entrance will set the tone for the entire evening; this is when everyone gets excited to celebrate!
6:20 PM - First Dance
Couples typically choose to transition directly into their first dance while the eyes are already all on them. It creates a sentimental moment before dinner begins.
6:25 PM - Parent Dances
Couples will either do parent dances before or after dinner. As a wedding DJ, we've noticed a better flow with the dances all being completed before dinner, so once dinner is over, we can continue with special moments and dance time for everyone!
6:35 PM - Dinner Service
Dinner is typically served for 45 to 60 minutes depending on the guest count and whether you're having a buffet or a plated meal.
7:35 PM - Toasts
After guests have finished eating, it's the perfect time for speeches from the Maid of Honor, Best Man, parents, or anyone else who will be speaking for the evening!
7:50 PM - Open Dancing
Time to open the dance floor!
Your DJ will start with fan favorites or your opening dance floor requests! This will help to build the momentum for the night.
9:00 PM - Cake Cutting
Many couples choose to do cake cutting during the dancing. This helps to create a natural break.
9:10 PM - Continued Dancing
After cake cutting, guests can grab dessert while others continue dancing. Throughout the night, your DJ will read the room and adjust the music to keep the energy going!!
10:45 PM - Last Dance
Your DJ will cue the last dance song! This will give an opportunity for everyone to celebrate together for the last time before the night comes to an end!
10:55 PM - Grand Exit
Ending the night off with an organized exit creates the perfect finale!!
